👀Sneak peek at today's newsletter:
This week is all about letting your CRM do the remembering for you: first a look at default field values, a newer feature that saves you from typing the same answer over and over, followed by task templates, which do the same favor for the tasks you create again and again.
✏️ Stop Typing the Same Thing Over and Over
The custom field setting for an example default field called
Take a look at an example default field value
Think about the last ten contacts you added to your CRM. How many times did you fill in the same value? The same lead source, the same preferred contact method, the same service package. If a field almost always starts with the same answer, you shouldn't have to type it every time.
That's exactly what default field values are for. Set a default once, and every new record starts pre-filled with your most common answer. You only touch the field when something's different, which for most of us is the exception, not the rule. It works for nearly every kind of custom field: text, numbers, dropdowns, checkboxes, and more (file and contact link fields are the only exceptions).
It's a small thing, but small things add up: less typing means faster data entry, fewer skipped fields, and cleaner data when you go to filter or report on it later. (A field that's easy to fill in is a field that actually gets filled in.)
And it's not just contact fields: pipeline fields can have defaults too, so your deals start pre-filled as well.
Setting one up takes under a minute.

✅ Task Templates: Your Process, On Repeat
Example task templates, including
A few common task templates
If default field values save you keystrokes on records, task templates do the same for your to-do list. Every business has tasks it creates over and over: the call you return after a voicemail, the info packet you promise someone on the phone, the check-in with a client who's gone quiet.
Task templates let you save the whole task once (name, calendar, due date, even who it's assigned to) and apply it from a dropdown whenever you need it.
There's also a default task setting, which pre-fills every new task you create, so even your most common one-off task starts half-written.
(And if what you're picturing is a whole series of tasks that should happen together, kicked off by a pipeline step, an incoming form, or manually, that's a job for automations. Templates are for the single tasks.)
Pair these with the default field values above and a theme emerges: the less your CRM asks you to remember, the more reliably the work gets done.
